below is a list of terms and conditions for our tours
These Terms and Conditions govern the relationship between 4x4 Ethiopia Tours (referred to as “the Company,” “we,” or “us”) and its clients (referred to as “you” or “the client”). By booking or participating in our tours, you agree to these Terms and Conditions. Please read them carefully before making a reservation.
All bookings are subject to availability and will only be confirmed upon receipt of a deposit or full payment, as applicable. A booking is not confirmed until the Company issues a written confirmation, either by email or another form of communication. Clients may request a provisional booking, but this will not be considered a confirmed booking until a deposit is received. By confirming a booking, you agree to these Terms and Conditions and the payment terms outlined.
To secure your booking, a deposit of 30% of the total tour cost is required at the time of booking. The remaining balance must be paid no later than 15 days before the tour start date. For bookings made within 15 days of the tour, full payment is required immediately to confirm the reservation. Failure to make the full payment on time may result in the cancellation of your booking. Payment can be made via bank transfer, credit card, or other methods as agreed upon by the Company.
Tour prices are based on current exchange rates, fuel prices, and service costs at the time of booking. The Company reserves the right to adjust prices to reflect any significant changes in these factors. Once a booking is confirmed and paid in full, the price is guaranteed. Any price changes after the booking confirmation will not affect confirmed bookings.
For cancellations, the Company's Cancellations made 30 days or more before the tour start date will receive a refund of 80%. Cancellations made between 15 and 29 days before the tour will receive a 50% refund. Cancellations made 7 to 14 days before the tour start date will be refunded 25%. No refund will be given for cancellations made less than 7 days before the tour starts. Certain prepaid services such as flights, hotels, and permits may not be refundable, as these are subject to third-party terms.
The Company reserves the right to modify itineraries, accommodations, or services due to unforeseen circumstances such as adverse weather, natural disasters, political instability, or supplier availability. If modifications occur, equivalent alternatives will be provided to maintain the quality of the experience. The Company will not be held responsible for any inconvenience caused by changes to the itinerary.
It is the client's responsibility to ensure that all necessary travel documents, including passports, visas, and health certificates, are in order and valid for the duration of the tour. The Company will not be held liable for any issues arising from incomplete or invalid documentation. Any delays or cancellations resulting from document issues will not entitle the client to a refund.
Clients are required to inform the Company of any medical conditions, dietary restrictions, or disabilities that may affect their participation in the tour. The Company will make reasonable adjustments where possible, but participation in certain activities may require a minimum level of fitness. The Company reserves the right to refuse service to any individual deemed unfit for certain activities.
While the Company takes all reasonable steps to ensure the safety and comfort of clients, we act as agents for third-party service providers such as airlines, hotels, and transport companies. The Company is not liable for any acts or omissions of these providers. Clients are strongly advised to purchase comprehensive travel insurance that includes coverage for medical emergencies, cancellations, and loss of belongings.
Clients are expected to behave respectfully toward fellow travelers, guides, and other personnel during the tour. Any behavior deemed disruptive, abusive, or harmful to others may result in immediate removal from the tour without refund. Clients are responsible for their actions and will bear any costs associated with their behavior, including any damage caused to property.
The Company is not liable for delays, cancellations, or disruptions caused by events beyond our control, including but not limited to natural disasters, pandemics, government actions, strikes, or any other force majeure event. In such cases, the Company will make reasonable efforts to provide alternative arrangements, but no refunds will be issued for cancellations due to force majeure.
Any complaints or issues during the tour should be immediately reported to the Company or tour guide for resolution. If the complaint is not resolved on the spot, clients must submit a written complaint within 14 days of the tour’s conclusion. The Company will address complaints fairly and in a timely manner, in accordance with applicable local laws.
